IREX is seeking a highly organized and detail-oriented professional to fill the position of Program Assistant in Ukraine for its CSO-funded Ukraine portfolio of programs. The Program Assistant will provide administrative support to the Project Director to ensure the smooth operation of CSO-funded programs and supporting the overall goals of IREX.

Your Background & Skills
- Bachelor’s degree in relevant field.
- Minimum of 1+ years of relevant experience preferably in the NGO sector and on technical assistance projects.
- Excellent knowledge of Ukrainian.
- Good knowledge of English.
- Strong intercultural and communications skills.
- Skilled at handling multiple tasks and able to maintain a calm, friendly demeanor under stressful situations.
- Strong inter-personal skills, outgoing personality, and ability to work independently and effectively under pressure and on strict deadlines and in a multi-cultural setting.
- Excellent writing skills.
- Strong interpersonal and organizational skills.
- Advanced knowledge of MS Office applications.
- Ability to travel (if security situation in Ukraine allows).
- You must have unrestricted authorization to work in Ukraine.
Your Daily Tasks
- Assists the Project Director in daily administrative tasks, including scheduling meetings, managing calendars, and preparing documents.
- Prepares first draft of documents, letters and reports – edit and review documents drafted by others for dissemination by the Project Director.
- Assists in coordinating program activities to ensure timely completion of project phases and accurate documentation.
- Plans and coordinate logistics for Director’s participation to internal and external events. Assisting the Project Director to plan trips and ensures effective logistics items (flights, visas, 2 travel advance, travel request, itinerary table + contacts, invitation letter, hotel confirmation, related travel documents) are up to date.
- Maintains and organizes project files, records, and documentation.
- Communicates with project stakeholders, team members, and external partners to facilitate project progress.
- Prepares and distributes meeting agendas, minutes, and follow-up action items.
- Assists in the preparation of project reports, presentations, and other communication materials;
- Provides logistical support for project-related events, workshops, and training sessions;
- Assists program staff as needed and provides general support to staff including photocopying, filing, note-taking, and other relevant duties.
- Translates program-related documents (English and Ukrainian).
- Assists with writing reports and monthly plans.
- Performs other duties as assigned by the Project Director.
- Follows up on invitations from partners and in consultation with the Project Director, ensuring IREX’s representation.
- Follows up on routine actions and deadlines of activities involving the Project Director and IREX CSO Portfolio as a whole (i.e. participation in meeting, deadlines for submission of document/information etc.).
- Manages the appointment schedule for the Project Director with external and internal parties including from external organizations, Government, as well as internal and external meetings, determining priority requirements.
- Write minutes of the meetings and calls to the Directors when necessary.
- Researches, obtains and ensures the Project Director's requirements for background materials for briefings, meetings and appointments.
- Supports the CSO-funded programs in Ukraine by providing assistance to Project Director.
- At the direction of project leadership, independently and accurately performs financial administration tasks.
- Provide ideas and initiative to improvement internal and external processes, support ties with veterans and share with team the key point from this communication.
- Other support duties as needed.
