CorpsAfrica has steadily expanded its operations from Morocco to Senegal, Malawi, Rwanda, Ghana, Kenya, Ethiopia, Uganda, Gambia, South Africa and Côte d'Ivoire. Having successfully proven the power and effectiveness of the model, CorpsAfrica has begun receiving significant funding from major donors. As we reach a significant inflection point leading to future expansion, we are seeking to add motivated, skilled, and highly effective staff to our team in Malawi.
OVERVIEW OF THE POSITION:
The Finance Associate will be responsible for processing of requests and payments, organizing and filing financial documentation such as vouchers, petty cash management, and maintaining the asset register and preparation of monthly financial reports. The role will contribute to effective financial management, and ensuring compliance with organizational policies, donor requirements and national requirements. He/she will support the bookkeeper to work closely with staff at all levels to collect and record all financial data in a useful database, develop and monitor activity budgets, reconcile all accounting entries, and provide monthly statements for head office reconciliation.
Reporting to: The Bookkeeper.
Specific Responsibilities:
- Processing of requests and payments, through working with staff from different units.
- Review of activity budgets to ensure alignment with CorpsAfrica Financial policies.
- Accurately entering financial data into accounting software or spreadsheets.
- Organizing financial documentation and filing of expenditures.
- Review advance and expense reconciliation, receipts and documentation from staff members
- Assisting in the preparation of financial reports, such as balance sheets, income statements, and cash flow statements
- Assist in Preparing reports on budget variances or financial forecasts.
- Petty cash management.
- Maintaining of the asset register
- Assisting in the preparation and submission of tax returns, ensuring compliance with local, state, and federal tax laws and Keeping track of deadlines for tax payments and filing.
- Facilitate payments of regular obligations and benefits (pension, insurance, medical, communication etc.) and ensure accuracy and collection of receipts.
- Assist the Bookkeeper in preparing the organization's cash flow and forecasting and ensuring monthly reporting and reconciliation are met, financial data and cash flow are stable and support operational requirements and effectively communicate and present critical financial matters.
- Support implementation of weekly, monthly, and quarterly internal reporting and budgeting processes.
- Maintain budgets, monitor expenditures, and ensure alignment with company financial objectives.
- Support CorpsAfrica/Malawi projects activities by efficient and effective Financial and Procurement processes.
- Providing administrative support Handling administrative tasks for the finance department, such as scheduling meetings, answering calls, and liaising with other departments. Assisting in the preparation of financial documentation for meetings or reports
- Work closely with the global finance team to align local operations with the Global Support Office’s broader financial goals.
- Support conduct of annual audit and finance reviews by donors.
- Other responsibilities as requested by the Bookkeeper and the Country Director.
Qualifications:
- Minimum of a bachelor’s degree in financial accounting or a related field
- A minimum of two years of relevant professional experience is required, with prior experience in the NGO sector being highly advantageous.
- Experience with budgeting, planning, and accounting.
- Highly organized and proactive to ensure timely remittance for obligations and benefits.
- Strong analytical and problem-solving skills, with high attention to detail and accuracy.
- Excellent communication skills and the ability to work effectively with global and local teams.
- High level of reliability, integrity, and confidentiality in handling financial information.
- Proficient in usage of accounting and reporting software such as Excel, SAGE, and QuickBooks.
